Learn how section leaders can securely access participant health forms and ensure everyone’s safety on activities.

What Leaders Can Access

Each leader has access only to the health forms of participants in their specific branch. For example, a Scouts leader can only view forms where the “Participant Branch” field is set to Scouts. The same applies for Beaver, Wëllefcher, Explorer, Rover, and Tembo.

Leaders can view all relevant details submitted by parents — including medical conditions, allergies, and emergency contacts — but cannot edit or change any information.

How It Works

Access control is automatically handled by the system. When a leader logs in, their assigned branch determines which health forms they can view. This ensures that sensitive data remains isolated within each group.

Leaders use a secure dashboard to browse participant records. Each record can be downloaded as a PDF file for offline reference during camps or activities, but no edits can be made to the digital form itself.

Privacy and Security

All participant information is stored in encrypted form and only decrypted when accessed by an authorized leader within their branch. Leaders are required to authenticate using a secure login and two-factor authentication (2FA) before viewing any data.

This means your child’s information is protected both at rest and in transit, and never visible to anyone outside their assigned group.
