How It Works

Each child has one single health form managed by their parents or legal guardians. This form is created by an administrator to ensure that no duplicates exist. Both parents (if applicable) can access the same form to keep information accurate and up to date.

The form includes fields for medical conditions, allergies, emergency contacts, and other relevant details. You can review and update your child’s information anytime — updates are saved as soon as you click “Save” or “Submit”.

Privacy and Control

Your child’s data is completely private and encrypted. It’s stored securely and can only be accessed by authorized leaders from your child’s branch — for example, Beaver leaders can only see Beaver forms, and Scouts leaders can only see Scouts forms.

Until you specify your child’s Participant Branch in the form, no leader can view the information. This ensures that parents stay fully in control of when and where data becomes visible.

Editing and Updating the Form

You can edit your child’s health form at any time. Simply log in, open the form, make your changes, and click the Save or Submit button at the bottom of the page. All changes are stored securely and are immediately reflected for authorized leaders once the correct branch is selected.

We recommend reviewing your child’s form before each major activity or camp to make sure all medical and contact information is still accurate.

Coming Soon

We’re working on adding the option to securely upload supporting documents, such as vaccination records or medical certificates. Because attachments require additional encryption and safe storage, we’re taking time to implement this feature with the same high security standards used across the system.
